Cova USA Refund Policy & Payment Agreement

(“Cova USA” or “Cova”)

Cova USA (“Cova,” “we,” “our,” or “us”) provides subscription‑based access to our software platform and related services designed to support business operations, automation, communication, and workflow management. This Refund Policy and Payment Agreement outlines how billing, refunds, cancellations, and payment obligations are handled for all Cova subscriptions.

1. Refund Policy
1.1 30‑Day Satisfaction Guarantee for New Customers

New Cova customers are eligible for a full refund of their initial subscription payment if a refund request is submitted within 30 days of the original signup date. This guarantee applies only to first‑time Cova subscriptions and does not extend to plan changes, upgrades, downgrades, or renewals.

1.2 Refund Requests After 30 Days

After the initial 30‑day period, all subscription payments are non‑refundable. No credits or partial refunds are issued for unused time, unused features, or mid‑cycle cancellations.

1.3 How to Request a Refund

To request a refund within the eligible window, customers must email our billing team at billing@covausa.com from the email address associated with their Cova account. Refunds, once approved, are processed within 7–14 business days.

1.4 Transaction Fees

Refunds may be reduced by applicable non‑refundable merchant processing fees charged by the payment processor. These fees are not retained by Cova and cannot be reimbursed.

1.5 Refund Limitations

Refunds are not available for:

  • Monthly or annual subscription renewals
  • Add‑ons, usage‑based fees, or optional upgrades
  • SMS, email, telephony, or communication‑related usage charges
  • Remaining account credits or unused features
  • Accounts found to be misusing or abusing refund policies

Cova reserves the right to decline refund requests when fraudulent, abusive, or manipulative behavior is suspected.

2. Account Cancellation & Data Handling
2.1 Canceling Your Subscription

Customers may cancel their subscription at any time by contacting billing@covausa.com. Cancellation stops future billing but does not generate refunds for past charges.

2.2 Access After Cancellation

After cancellation, platform access continues until the end of the current billing cycle.

2.3 Data Deletion

Once an account is terminated, all associated data may be permanently deleted in accordance with Cova’s Data Retention & Account Reactivation Policy. Deleted data cannot be restored.

3. Usage‑Based Fees (SMS, Email, Telephony)

Certain features—such as SMS messaging, email sending, and telephony services—may incur usage‑based fees. These charges are non‑refundable, regardless of subscription status or account activity.

4. Refund Process & Notifications
4.1 Verification & Authorization

Once a refund request is received, our billing team will review eligibility and notify the customer of approval or denial.

4.2 Processing Timeline

Approved refunds are issued to the original payment method within 7–14 business days. A confirmation email is sent once the refund has been initiated.

5. Payment Agreement
5.1 Authorized Payment Method

Customers must maintain at least one valid payment method on file. By subscribing to Cova, you authorize us to charge all applicable fees to your stored payment method until all outstanding balances are paid.

5.2 Billing Cycles
  • Monthly plans renew every month on the date of original purchase.
  • Annual plans renew once per year on the date of original purchase.

Charges occur automatically unless the subscription is canceled prior to the next renewal date.

5.3 Plan Changes

Customers may upgrade or downgrade their plan at any time. Plan changes take effect immediately, and charges are adjusted accordingly.

5.4 Pricing Adjustments

Cova may update pricing or billing terms from time to time. Customers will be notified via email and/or through the platform. Continued use of the service after pricing updates constitutes acceptance of the new terms.

5.5 Responsibility for Charges

Customers are responsible for all subscription fees, usage fees, and outstanding balances—whether or not the platform is actively used.
